A fast-growing real estate agency was pulling in leads around the clock from WhatsApp, inbound calls and social campaigns, with no system to handle them at scale. Agents were slow to respond, leads went cold, and there was no way to tell who deserved attention first. The volume was real. The infrastructure to catch it was not.

✕ Challenge

Too many leads. Not enough agents. No way to prioritize.

Leads arrived from every direction at once, and three gaps defined the old process.

• Slow response. During busy periods or outside office hours, leads waited hours for a reply and went cold before anyone picked up.
• No qualification. A casual browser and a serious buyer got the same treatment, so agents burned time on contacts that were never going to convert.
• No way to scale. As social campaigns drove more volume, the gap between incoming leads and agent capacity only widened. More leads meant more missed opportunities, not more revenue.

The agency needed something that could engage every lead the moment it landed, work out who was worth pursuing, and put the right ones in front of the right agent with no manual triage.

We designed and built a fully automated lead handling pipeline that pairs an AI voice agent with an AI WhatsApp agent, orchestrated through n8n and custom code. It runs the whole journey from first contact to booked viewing, and escalates to a human the moment a conversation needs one.
